The Role

Our client is seeking a dedicated and organised Administration Officer to join their growing allied health team. This key role supports the smooth daily operation of the practice, ensuring efficient and compassionate service delivery to clients and clinicians alike.

Reporting to the Operations Manager, the Administration Officer will provide professional reception and administrative support, manage client records and billing, and contribute to a positive and welcoming service environment.

Key responsibilities include:

  • Acting as the first point of contact for client and stakeholder enquiries
  • Managing appointment bookings and clinician calendars
  • Maintaining and updating client records with a high level of confidentiality
  • Coordinating invoicing, billing, and rebate processes across NDIS, Medicare, DVA, private health funds, and SIRA (workers compensation)
  • Supporting the onboarding of new clients and staff
  • Using practice management systems (e.g. Power Diary/Zanda, Halaxy, Cliniko) effectively
  • Ensuring compliance and assisting with internal documentation and reporting
  • Contributing to the overall client experience and positive team culture


Requirements

Essential

  • Prior experience in an administration or reception role (health/allied health preferred)
  • Strong interpersonal and communication skills
  • Excellent organisation, multitasking, and time management abilities
  • Confidence handling sensitive and confidential information
  • Experience using or willingness to learn practice management systems (e.g. Halaxy, Power Diary/Zanda, Cliniko)
  • Knowledge of billing systems including NDIS, Medicare, DVA, private health, and SIRA
  • Ability to work both autonomously and collaboratively

Desirable

  • Experience in an allied health, psychology, or medical setting
  • Familiarity with NDIS processes and terminology
  • First Aid and CPR certification
  • Current NDIS Worker Screening Check
